As we continue to grow across Central Massachusetts and MetroWest, we are looking for an experienced, technically savvy Human Resources & Payroll Generalist to support our growing people operations and help deliver an exceptional employee experience.

Reporting to the Director of Talent Acquisition & Development, this role is responsible for owning payroll administration, benefits administration, employee lifecycle processes, HR operations, workforce planning activities, and compliance initiatives while helping create an exceptional employee experience from hire to retirement.

This is not simply an administrative HR position.

This role serves as a trusted partner to employees and leaders, ensuring our people processes are efficient, compliant, employee-centered, and scalable as the organization continues to grow. What You'll Do

Payroll Administration

  • Manage end-to-end payroll administration with accuracy and confidentiality
  • Process employee changes including new hires, terminations, compensation adjustments, and leave updates
  • Audit payroll information and proactively resolve discrepancies
  • Partner with Finance and leadership to ensure payroll compliance and reporting accuracy
  • Maintain payroll records and documentation
  • Generate payroll reports and workforce metrics as needed
  • Administer bi-weekly payroll processing and audits
  • Ensure accurate timekeeping, earnings, deductions, and benefit withholdings
  • Coordinate payroll-related employee inquiries and issue resolution
  • Maintain payroll documentation and reporting requirements

Employee Lifecycle Management

  • Administer onboarding and offboarding processes
  • Coordinate new hire paperwork and system setup
  • Manage employee status changes and personnel records
  • Support employee transitions and organizational changes
  • Maintain accurate and compliant employee files
  • Support performance management and employee review processes
  • Coordinate offboarding activities and employee separation processes
  • Ensure all separation documentation and system updates are completed accurately and timely
  • Support the Director of Talent Acquisition & Development with offboarding administration and reporting

Benefits Administration

  • Administer employee benefit programs and enrollments
  • Serve as the primary point of contact for benefits questions and support
  • Coordinate open enrollment activities
  • Manage qualifying life event changes
  • Partner with benefit vendors to resolve issues and improve employee experience
  • Educate employees on available benefit offerings and resources

Human Resources Operations

  • Serve as a trusted resource for employee and manager HR questions
  • Maintain HR policies, procedures, and documentation
  • Support employee relations and issue resolution
  • Support leave administration and accommodations
  • Monitor HR compliance requirements and employment law changes
  • Develop and improve HR processes and workflows
  • Produce reports and dashboards that support business decisions
  • Assist with employee engagement, retention, and recognition initiatives

Workforce Planning & Talent Administration

  • Prepare and distribute monthly forward-looking staffing calendars for each clinic and department
  • Track PTO, leaves of absence, continuing education, onboarding schedules, internships, and anticipated staffing changes
  • Highlight potential staffing concerns and upcoming coverage considerations for clinic leadership
  • Maintain workforce planning dashboards and reporting tools
  • Coordinate communication regarding upcoming staffing considerations
  • Support the Director of Talent Acquisition & Development and Operations team through timely reporting and administrative coordination

Continuing Education Administration

  • Administer continuing education reimbursement and agreement processes
  • Ensure all continuing education agreements are completed, signed, and accurately filed in employee personnel records in a timely manner
  • Track continuing education reimbursement commitments and agreement fulfillment dates
  • Partner with employees and leaders to ensure documentation is completed promptly and maintained accurately

Systems & Technology Management

  • Serve as a subject matter expert for HR systems and platforms including TriNet and JazzHR
  • Maintain employee data integrity across all systems
  • Generate reports, dashboards, and workforce metrics to support business needs
  • Identify opportunities to improve efficiency through automation and process improvements
  • Support system implementations, enhancements, and process documentation
  • Quickly learn and adopt new technologies and maintain proficiency across multiple platforms
  • Ensure accurate data management and reporting across all HR systems

Documentation & Compliance Management

  • Maintain employee personnel files and HR documentation
  • Ensure all required employee documentation is completed and filed timely
  • Conduct periodic personnel file audits
  • Maintain I-9 records and required employment documentation
  • Assist with compliance reporting and audit preparation
  • Ensure continuing education agreements and reimbursement documentation are completed and maintained accurately

Support Growth & Culture

  • Champion and promote the Green Team culture
  • Support employee engagement and retention initiatives
  • Assist with company programs and events
  • Support leaders by providing timely information, documentation, and administrative guidance on employee processes and programs.
  • Help create scalable people processes that support organizational growth
  • Contribute to creating an exceptional employee experience across the entire organization

What You Bring

Experience

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred
  • 3+ years of progressive Human Resources experience required
  • Payroll administration experience required
  • Benefits administration experience required
  • Experience supporting multi-site operations preferred
  • Healthcare experience preferred but not required

Technical Skills

  • Strong HRIS and payroll systems experience required
  • Advanced proficiency with Microsoft Office and Google Workspace
  • Comfortable learning and optimizing new technologies
  • Experience with reporting, analytics, and data interpretation
  • Strong systems thinking and process improvement capabilities
  • Exceptional attention to detail and data accuracy
